What Is RFQ Automation?

RFQ Automation: RFQ automation is software that captures a buyer's specs and quote request directly from a website form or tool and routes it to the right salesperson without manual data entry.

In Plain Terms

RFQ automation replaces the generic "Contact Us" form most sites default to with a structured tool built for how manufacturers actually get asked to quote work. Instead of a buyer typing a few sentences into a small text box, the form asks for exactly what's needed to price the job — quantity, material, tolerance, target delivery date — and often lets them attach a drawing directly.

Once submitted, that information goes straight to the right person, usually by email or into a CRM, instead of sitting in a shared inbox waiting to be manually sorted and re-typed into a quoting spreadsheet.

The automation part isn't about replacing a person's judgment on pricing — a human still quotes the job. It's about removing the manual data entry and delay between "a buyer wants a quote" and "the right person has everything they need to respond."

Example

A CNC shop's old website had a single "Send us a message" field. A buyer would type a rough description, and someone at the shop had to email back asking for the drawing, the quantity, and the tolerance before a quote could even start. After switching to a structured RFQ form with drawing upload, the shop skips that back-and-forth entirely — the first email a buyer gets back is an actual quote.

Why It Matters for Manufacturers

Buyers are usually quoting the same job with two or three other suppliers at once. A shop that responds with a real quote in hours, instead of a clarifying email that starts a multi-day back-and-forth, wins jobs it would otherwise lose purely on response time — regardless of who has the sharper price.

How MFG Web Design Handles RFQ Automation

We build quote forms around the specs a given shop actually needs — not a one-size-fits-all contact box — and connect them to whatever CRM or inbox the sales team already works from. Frequently Asked Questions

Is RFQ automation the same as a live chat widget?

No. Chat widgets handle quick questions in real time. RFQ automation is a structured form or tool built to capture the specific details — quantity, spec, drawing, deadline — a supplier needs to price a job, and route that information straight to the right person.

Do small shops need RFQ automation, or is it only for larger manufacturers?

A small shop with one or two people fielding quote requests often benefits the most — every manually re-typed spec is time that could go toward actually pricing the job. A structured request-for-quote tool removes that step regardless of company size.
